Portal Partnership are delighted to have recently rolled out a new version of their Resource and Visitor Management System for one the worlds largest re-insurance companies in the City of London.

The system is a Lotus Notes based application which allows any of the company's 1000+ staff to book one of over 70 meeting rooms, order catering and equipment and also book visitors in and out of the building.

Some key features of the new version of the system are:

Integration with the standard Lotus Notes Resource Reservations system and the user’s Busy Time schedule allowing users to find vacant rooms and check on attendees availability.

Integration with Lotus Notes Mail so that room bookings automatically appear in the user’s personal calendar.

Booking of resource equipment e.g projectors, whiteboards, video equipment etc.

Comprehensive reporting system producing reports on room usage, visitor statistics and catering charges.

An automated interface with the external Visitor system employed at their building so that visitors are monitored internally within reception and also externally at the building’s main reception.

Dependant room capability allowing large rooms to be split into smaller separate units that can be booked individually.

Automated security badge system.

Room security features so that specific rooms can be booked by authorised employees only.

A Help Desk facility which provides the Facilities Help Desk team advance notice when a room booking requires setup and cleardown effort before and after a meeting.
